Get Started: Administrative procedures
On this page, you can find useful information concerning the administrative procedures that every new collaborator must complete upon his/her arrival to CERN ( A complete information is available here.) and information about the physics in ALICE.
A new member can be either USER (present at CERN) or we can also register you as "EXPERIMENT EXTERNAL" if you are not coming to CERN but need to work remotely from your institute.
USERS:
For those who need a visa (collaborators from outside the Schengen area), please consult the following page.
REGISTRATION at the USERS OFFICE and the ALICE SECRETARIAT:
1) At the Users office: please print and fill in the registration form, make it sign by your Team Leader and take it to the Users Office located in 61-R-022 with a proof of your affiliation to an institute, insurance certificate, 4 photos and visa and/or Convention d'accueil for persons coming from outside Schengen area.
2) once the registration at the Users Office is done, go to bldg 55 to get your access card.
3) contact helpdesk@cern.ch or by phone +41 22 767 7777 to get you login and temporary password for the CERN computer accounts.
4) follow the computing security course to validate your accounts.
5) present yourself at the ALICE secretariat and register in ALICE COLLABORATION DATABASE: ALICE Registration form. (pre-filled and signed by your Team Leader)
6) follow the general safety courses (levels 1&2, 3 and 4 if necessary)
EXPERIMENT EXTERNAL registration:
1) Please fill in the ALICE Registration form and send it to the secretariat either by email or by fax (+41 22 767 9480) with a copy of your passport, when the registration is complete, we contact you and then you can:
2) contact helpdesk@cern.ch or by phone +41 22 767 7777 to get you login and temporary password for the CERN computer accounts.
3) follow the computing security course to validate your accounts.
The users and experiment externals are also registered in the Alice Collaboration DataBase (ACDB). This gives access for example to ALICE Indico pages.
HOUSING:
CERN provides a high quality hostel service: please visit their web site. Bookings are possible 6 months prior to your visit. There are no block bookings for ALICE weeks. Every person is able to book directly in the hostel, with CERN accounts directly on the web site or new comers without CERN accounts by sending an email to cern.hostel@cern.ch. If the hostel is full, there's a wide range of hotels in France and Switzerland with which CERN has preferential rates, the list can be consulted on the housing service's web site.
ACCESS RIGHTS:
once you are registered at CERN and have your computer accounts activated, you can request on EDH for the necessary access rights.
The most usuals are ALI-ACR and ALI-COF to work (shifts) in the Control Room at Point 2..
to get the authorisation password for EDH, one must set it under "Options" in the EDH menu.
CARS:
CERN driving authorisation: to use CERN cars, one has to have the authorisation to drive CERN cars. On EDH, select "Access request" and "V: CERN vehicle driving licence". You have to join a scan of your national driving licence to the request.
DOSIMETRY SERVICE:
If you need to work in the zones for which you need a dosimeter, please address to the Dosimetry service.
